This Privacy Policy explains how Karzone ("Karzone", "we", "us", or "our") collects, uses, discloses, and protects personal data when you access or use the Karzone platform, application, and related services (collectively, the "Service"). This Policy forms part of and should be read together with our Terms and Conditions of Service.
Karzone is a software platform that helps sales teams organise, analyse, and act on data already held in their own systems, including CRM platforms, call recording and transcription tools, calendar systems, and communication platforms such as Slack.
2.1 Account information
When you create a Karzone account or sign in using Google Sign-In, we collect your name, email address, and profile picture as made available to us by your Google Account.
2.2 Third-party data you connect
If you choose to connect a CRM, call recording or transcription tool, Google Calendar, Slack, or any other third-party data source, we access and process the data you authorise us to retrieve from that source in order to provide the Service. This may include deal and pipeline records, call transcripts and metadata, calendar event details such as titles, times, and attendees, and messages exchanged with the Karzone bot within Slack.
2.3 Usage data
We automatically collect limited technical information about how you use the Service, such as log data, device and browser information, and interaction data, in order to maintain, secure, and improve the Service.
2.4 Communications
If you contact us directly, we collect the information you provide in that communication, such as your name, email address, and the contents of your message.
We use the information we collect to:
Provide, operate, and maintain the Service
Authenticate your account and enable Single Sign-On
Retrieve, structure, and analyse data from the Third-Party Data Sources you connect
Generate summaries, scores, and briefing outputs as described in our Terms and Conditions
Deliver outputs and enable two-way conversations with you through Slack and other connected channels
Respond to your requests and provide customer support
Maintain the security and integrity of the Service
Comply with our legal obligations
Where you have separately consented, send you marketing communications as described in our Marketing Communications Consent
Where you connect your Google Account to Karzone, we request access to the following scopes only: your basic profile information (name, email address, profile picture) for authentication, and, where you separately authorise it, read-only access to your Google Calendar in order to correlate scheduling information with CRM and call data.
Karzone's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data, including Calendar data, for advertising purposes, we do not sell Google user data, and we do not allow humans to read this data except with your explicit permission, to investigate abuse, to comply with applicable law, or as necessary to provide and maintain the Service you have requested.
Where the GDPR or UK GDPR applies, we rely on the following legal bases to process your personal data: performance of a contract, where processing is necessary to provide the Service to you; legitimate interests, where processing is necessary for our legitimate business interests and does not override your rights; consent, where you have given specific consent, such as for marketing communications; and compliance with a legal obligation, where processing is required by applicable law.
We do not sell your personal data. We may share information with sub-processors and service providers who help us operate the Service, such as cloud hosting and infrastructure providers, subject to appropriate data protection safeguards. We may also share information where required by law, to protect our rights, or in connection with a merger, acquisition, or sale of assets, subject to appropriate protections.
Where personal data is transferred outside of the European Economic Area or the United Kingdom, we ensure that such transfers are made in compliance with applicable data protection law, including through the use of appropriate safeguards such as Standard Contractual Clauses approved by the European Commission.
We retain personal data for as long as necessary to provide the Service and to comply with our legal obligations. If you disconnect a Third-Party Data Source or delete your account, we will delete or anonymise the associated data within a reasonable period, except where retention is required by applicable law.
We implement appropriate technical and organisational measures designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, or access. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If the GDPR or UK GDPR applies to you, you have the right to access the personal data we hold about you, request correction of inaccurate data, request erasure of your data, request restriction of processing, receive your data in a portable format, and object to processing carried out on the basis of legitimate interests. You also have the right to withdraw consent at any time where processing is based on consent, and to lodge a complaint with your local data protection supervisory authority.

The Service is not directed to individuals under the age of 16, and we do not knowingly collect personal data from children.
